The Marketing Assistant is responsible for assisting in initiating jobs for creative design from inception to completion including trafficking daily workflow and opening jobs to ensure delivery by deadline. This position acts as a liaison between entities and outside vendors and develops content as directed. Additionally, this position performs administrative tasks and attends marketing related functions as required.

Essential Duties and Responsibilities

  • Works with assigned entities to create and produce advertising materials that will effectively promote their business with the intention of driving new and continuous customer traffic
  • Facilitates and manages monthly marketing meetings with assigned entities
  • Acts as liaison between entities and outside vendors i.e.: media outlets, radio stations, newspaper, magazines, etc.
  • Works within the marketing department to meet departmental needs as related to daily work flow, including offering input to outside agencies to create materials, proofing materials to ensure accuracy, distribution for approval, monitoring edits and seeing all jobs through to completion for final delivery
  • Attends and assists in all marketing related functions including model grand openings, various internal and external events, future community site visits, company functions, etc., as directed by management
  • Learns design programs such as Adobe Creative Suite to create flyers for resident related and other events as needed
  • Develops PR content, identifies news and other story angles, writes engaging topics for editorial calendars and other social media efforts
  • Orders collateral materials including business cards for assigned entities
  • Logs Marketing Request Forms for new and recurring job requests into Function Point for all entity related requests
  • Distributes flyers to appropriate entities as needed
  • Maintains printing files, vendor files and miscellaneous files for assigned entities
  • Assists in the preparation of signs and closure notices in-house for assigned entities if needed, including holidays.
  • Assists the World News Editor in the creation of entity ads for in-house newspaper and writes articles for the newspaper as directed
  • Archives assigned entity jobs regularly
  • Maintains a willingness to assume new responsibilities and embrace opportunities as they may arise
  • Responsible for meeting deadlines for timely delivery of jobs.
  • Meets deadlines and prioritizes duties in a fast-paced environment
  • Informs management of any changes, potential problems or outstanding issues
  • Collaborates with team members within the department and companywide

  • Cross trains for positions within the sales/marketing organizational structure, as needed

Education and Experience:
  • High School Diploma or equivalent, or actively working towards, required
  • Previous experience in a marketing-related field preferred

Skills and Knowledge:
  • Must be able to read, write and understand English and have superior written, verbal and interpersonal communication skills with a solid ability to write, edit, and proofread compelling and persuasive copy
  • Bilingual (Spanish) preferred but not required
  • PC proficiency is essential
  • Microsoft Office skills required, including Adobe Creative Suite
  • Ability to multi-task, meet deadlines and prioritizes duties in a fast-paced environment
